About the role
The Administrative Services Coordinator is the first point of contact for employees, suppliers, and visitors. This key role contributes to the daily smooth operation of the office by providing administrative support, ensuring effective coordination, and maintaining clear communication.
Responsibilities include reception, administrative and event coordination, as well as managing office logistics (supplies, uniforms, mobile phones, etc.).
Key responsibilities
Reception and front desk support
Welcome and direct visitors, respond to inquiries, and relay messages to staff Maintain a clean, organized, and professional reception area and common spaces Receive, sort, and distribute incoming mail and packages
Administrative and event coordination
Coordinate internal and external meetings, including room bookings Plan and organize logistics for internal social events Ensure a positive and professional experience for employees and visitors
Office resources and logistics management
Order and manage office supplies (stationery, equipment, furniture, etc.) Manage the uniform room: place orders, monitor inventory, and ensure distribution Maintain accurate records of uniform inventory and distribution Set up and distribute mobile phones to team members Perform other general administrative tasks as required
Profile
High school diploma (DES) or equivalent Bilingual in French and English with excellent oral and written communication skills Proficiency in Microsoft Office and Google Workspace, especially Excel Strong organizational skills and attention to detail Ability to work independently with minimal supervision Strong time management skills and ability to multitask effectively Professional appearance, positive attitude, and team spirit Excellent interpersonal skills and customer service orientation
