Your opportunity:

The Department of Psychological & Brain Sciences offers research-based BSc programs that focus on various aspects of behavior in humans and animals. Our mission is realized through the dedication and excellence of our engaged faculty and staff. Our administrative team works collaboratively to support the diverse needs of faculty, sessional instructors, course instructors, teaching assistants, and students.

Under the general direction of the Manager, Finance & Operations, the Undergraduate Program Coordinator plays a key role in supporting student success and academic operations. This position involves regular interaction with students, faculty, and staff, as well as collaboration with various internal stakeholders across academic and administrative units to ensure the smooth delivery of undergraduate programs.

The incumbent is responsible for providing program and course information to both faculty and students, administering PSY 100, assisting faculty with test and exam preparation, and supporting other course-related duties as required. The role also includes managing special consideration requests and assisting with the undergraduate awards process.

Additionally, the Undergraduate Program Coordinator serves as the website and social media lead for undergraduate matters, creating and editing content to support student engagement. This role also plays a supporting role in coordinating student recruitment events and promoting programs at these events.

The Undergraduate Program Coordinator works collaboratively with the Academic Advisor – Undergraduate Program Administrator and the Academic Advisor & TA Coordinator to ensure the successful delivery of undergraduate programs. This role also supports the TA recruitment process by preparing applicant correspondence using standardized templates and ensuring compliance with collective agreements and institutional policies.

Your responsibilities will include:

-Acting as a first point of contact for general and program-related enquiries
-Coordinating departmental course syllabi
-Coordinating the recruitment and training process for teaching assistants and for exam invigilators
-Coordinating student grades/ marks amendment and change processes
-Liaising with contacts to facilitate collaboration on petitions and/or appeal cases and minute taking
-Liaising with others to coordinate deferred examination schedules
-Editing content for brochures, newsletters, websites and or handbooks
-Keeping well-informed on changes to courses, program requirements, policies and procedures
 

Essential Qualifications:

-Bachelor's Degree or acceptable combination of equivalent experience
-Minimum three (3) years related experience in an academic environment supporting undergraduate students and academic programs
-Minimum one (1) year related experience in coordinating the recruitment of teaching assistants and exam invigilators while adhering to collective agreements
-Experience with editing course syllabi, test/exam preparation, test formatting and grade submissions
-Experience in managing special consideration requests
-Strong experience in website and social media management
-Experience in assisting with logistical details for student recruitment events
-High level of proficiency in MS Office (Word, Excel (including pivot tables, Outlook,Teams), Zoom & related Institutional Resources (e.g. ROSI/ACORN, Degree Explorer, CIS, SAS, TA Hiring Application) preferred
-Demonstrated ability to interact with faculty, students, and professional colleagues in a tactful, professional and diplomatic manner
-Demonstrated ability to manage competing priorities and meet tight deadlines while maintaining a high degree of accuracy
-Demonstrated ability to work independently and as part of a team to ensure continuity of student support
-Experience with Course Information System (CIS), Student Advising Service (SAS) is an asset

Pay Scale Group & Hiring Zone:

USW Pay Band 10 -- $72,119. with an annual step progression to a maximum of $92,226. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
