The Town Pump Hotel Group is looking for a motivated and outgoing Hotel Accounts Receivable and Group Specialist who will model our mission statement “Genuine Hospitality from genuine people committed to providing comfort and service.”  Town Pump is a growing company, with ever increasing opportunities for career growth.

SUMMARY:

Performs duties to effectively assist the General Manager with managing the Hotel’s Accounts Receivable with specific attention to the high-volume corporate account to ensure proper and prompt billing to the company to guarantee payment for all rooms that are directed billed to that corporate account.  Additionally, this position will involve collaborating with the sales team to manage incoming group reservations.  This position will require overseeing the details of rooming lists, room blocks, inventory management, contracts, etc.  This person will make sure that all aspects of the group stay meet or exceed guests’ expectations. The expectations are to meet in accordance with Town Pump and brand operation standards and model the Hotel Mission Statement: “Genuine Hospitality from genuine people committed to providing comfort and service.”

 

ESSENTIAL DUTIES AND RESPONSIBILITIES
:

-Interact with guests, co-workers, and management in a courteous, professional manner.  Must maintain a high degree of pride in job performance.
-Maintain a business professional image while representing the Company.

-Complete all required company and brand-specific training and/or certifications in a timely manner.
-Enter various accounts receivable invoices.
-Maintain and reconcile A/R accounts and general ledger accounts.
-Ensure that third-party systems reconcile with property management system accounts receivable balances.
-Communicate with Hotel Ops Administrator on current balances and collection efforts of accounts on a weekly basis.
-Contact past due accounts on a regular basis
-Submit invoices to accounts for payment
-Post payments to accounts receivable
-Manage groups that are booked by the Regional Sales Manager
-Manage group inventory, including adding rooming lists, billing requirements, group reservation details, etc.
-Communicating with hotel staff about upcoming requirements for groups, ensuring key packets are prepared, groups are blocked appropriately, special requests are completed, etc.
-Communicate with the group contact person to ensure block pick up, arrival times, special requests, rooming lists, billing, etc.
-Practice safe working conditions for all employees and guests under Occupational Safety and Health Administration guidelines, include Bloodborne Pathogens.
-Maintain familiarity with all emergency procedures regarding accidents, fire, bomb threats, phone, internet, security, and illness of guests

EDUCATION and/or EXPERIENCE
:

-Experience in hospitality or retail atmosphere preferred.

COMPUTER SKILLS
:

-Proficient computer skills and experience in MS Office and other commonly used computer software

REQUIRED CERTIFICATES, LICENSES, REGISTRATIONS:

OTHER SKILLS and ABILITIES
:

-Experience in cash and credit card handling preferred.
